Disaster control services use voxlog professional and voxAlert to:
- be able to provide information promptly
- document their communications in a seamless way, without gaps
- be able to coordinate and control operations more easily
- improve the quality of information hotlines and to increase their performance capability
- allocate activity units in a precise manner
- alert and inform people, groups of people, the authorities and organisations
It is not only in the light of international terrorism that the strict separation between civil defence and disaster control seems finally to have become a thing of the past. Whether it is the “New Dimension” or the “Protection and aid for the population”, new answers are being formulated to the changing threat situation and ever-more dramatic environmental catastrophes. The foundation is formed by bundling the most diverse information together and promptly passing it on to all involved - the authorities, offices and organisations. Because problems in the handling of disasters and mass injury situations are often problems with the obtaining and processing of information.
Communication solutions from VOXTRONIC for the recording of data and speech assist security control centres, crisis centres, co-ordination headquarters and emergency response centres in the production of reliable deployment documentation and the accurate reconstruction of events. Furthermore, with voxAlert we offer a readily available digital alarm and communications server for automated informing and alerting purposes. It is particularly in disaster aid and civil defence situations that communications solutions are required that remain perfectly distributable, even over great distances and that function together seamlessly. The open architecture and manufacturer independence of our systems allow precisely that – and at the same time guarantee harmonious integration and an interface with the technical innovations of the future. This is how we can ensure that the investment retains its usefulness over the long term.
Where is the voxlog professional system to be found in use? Anywhere where communication plays a decisive role, such as information hotlines and emergency information points at the contact centre. With the voxlog professional system, all conversations can be digitally recorded, without gaps, and used as solid evidence whether they are incoming or outgoing, via analogue or IP telephony, with or without speech-synchronised screen recording. And if the contact centre employee is moving between one workstation and another, the recording simply moves with him. Full support can be provided even in work environments in which the staff freely move around and this subsequently helps in the precise allocation of activity units. Communications can also be retrieved more quickly through the unambiguous assignment of conversations. Retrieval: takes simply seconds thanks to the storage of all call and connection data and automatic campaign-related referencing. A large number of filter and search options are available. From telephone number ranges, duration of the conversation, date and time, to specific categorisation and attributing. Our unbeatable combination is a central SQL database and intelligent voxflow management, with which documents can be managed, indexed and researched intuitively on the web and passed on via e-mail. And if things need to be even further speeded up, the recording can simply be played back live into the ongoing conversation: the relevant control centre can thus be informed immediately in an emergency without losing precious time by the caller having to repeat his account.
The options for quality control range from listening in silent-listening mode, to statistical key figures (such as how long the phone rang for before it was answered, or the net conversation time of an employee per hour), to a precisely focused search for particular statements. For example, the keyword-spotting module can automatically find recordings in which phrases such as “can’t help you” or “not responsible” occur in order to improve the way conversations are conducted in a lasting way. And it works the other way round too: by searching for phrases such as “helped me very much” you can find those conversations that produced positive reactions, and then let other employees benefit from these by using them to produce a best-practice library. At the same time, the direct utility of the existing information and telecommunications landscape at every single workstation is instantly increased. By using instant-recall, for example - at the press of a button the last conversation is played back straight away – useful if notes need to be taken.
Although the analogue radio traffic, data telegrams, Tetra and FireLink communications of mobile units operated by the police, rescue services and fire service are recorded separately, they are stored centrally in the SQL database together with the conversations from the contact centre, and if necessary are also linked to these.
The voxAlert alarm server is used for alerting and keeping people, groups of people and organisations continually informed. The readily available system is able to handle even the biggest alarm scenarios extremely rapidly. As with our documentation solutions, voxAlert has an open architecture. This supports a variety of communication interfaces every bit as wide and extensive as the range of organisations and authorities that play an active role in disaster control and civil defence. The alerting and informing methods that are defined in the clearly laid-out, high-performance web user interface, are conveyed by telephone, via VoIP, LAN, building services, alert sounds or lights, analogue radio, via TETRA, BOS pager services (such as POCSAG), via SMS or even by fax. Different types of acknowledgement and escalation, and the automatic convening of an alarm conference are also possible, as is the integration of alarm and fire-protection systems. The logging of all of the events are accurate to the millisecond and meet all legal requirements.
